Privacy statement

1. Introduction

This Service Specific Privacy Statement explains the reason for the collection and processing of your personal data, the way we protect your personal data provided and what rights you may exercise in relation to your data (the right to access, rectify, block etc.).

2. Why do we process your data?

2.1 Purpose of the processing

The personal data you provide will allow the ETIP-Geothermal to organize the working of the ETIP-Geothermal, to invite you to meetings organized by or in the context of the ETIP-Geothermal and to involve you in the drafting of the strategic documents, i.e., the Strategic Research Agenda and the European Roadmap on geothermal. The data you provide will be processed solely for these purposes.

2.2 Lawfulness of the processing

The collection and use of the data described here is lawful base on article 6 (a):

The data subject has given consent to the processing of his or her personal data for one or more specific purposes.

Of Regulation (EU) 2016/679 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation).

3. What data do we collect and how do we process them?

3. 1 Which data do we collect and process

When registering, the ETIP-Geothermal will ask you to provide the information listed below.

  • First name (mandatory);
  • Last name (mandatory);
  • E-mail address (mandatory);
  • Organization: the organization you work for (non-mandatory);
  • Category: the type of organization you work for (non-mandatory);
  • Country: country of residence (non-mandatory);
  • Working group or working groups to which you subscribe.

The data will be used to compile mailing lists (also via third party MailChimp) to allow an efficient working of the ETIP-Geothermal.

3.1 Data collection

Your personal data is collected via the registration form on the ETIP-Geothermal website and stored as a text-file on the server of the website, in an MS Access database that is maintained by the secretariat, and in a mailing list from third party MailChimp.

The data will only be processed (stored in the database and added to the mailing lists) in case you have given your consent to the processing of your personal by checking the button that he explicitly agrees with the processing on the registration form.

4. How long do we keep your data?

Your personal data will be kept for as long as the ETIP-Geothermal exists and can be kept up to 5 years afterwards.

5. How do we protect your data?

All personal data is stored in electronic format (text files, MS Access and e-mails) on the server hosting the website of the ETIP-Geothermal and on the servers the members of the Secretariat.

Access rights and controls are secured via Secretariat and granted to persons authorize to get access to the information (see §6). All persons granted access to your data are reminded to use the personal data received only for the purpose for which they were transmitted.

6. Who has access to your data and to whom is it disclosed?

Your personal data will be disclosed to the members of the Secretariat of ETIP-Geothermal, the members of the Executive Committee, the members of the Steering Committee and to the working group leaders.

The members of the Secretariat have full access to your data.

The members of the Executive Committee, the members of the Steering Committee and the working group leaders have access to your e-mail address to contact you about the progress of the ETIP or of the working group(s) to which you subscribed, and to ask for input when drafting the strategic documents.

We may use the following third party services to store and process your data:

  • Mailchimp (The Rocket Science Group, LLC), which we use to manage email marketing subscriber lists and send emails to our subscribers. Read their privacy policy.
  • Dropbox, which we use for collaboration between the Secretariat. Read their privacy policy.

7. What are your rights and how can you exercise them?

According to Regulation (EU) 2016/679, you are entitled to access your personal data and rectify/block or erase them in case the data is inaccurate or incomplete. You can consult your personal data through the members area on the ETIP-Geothermal website (https://members.etip-geothermal.eu/account) and exercise your rights by contacting the Secretariat of the ETIP-Geothermal (info@etip-getohermal.eu).
